Retreat Terms & Conditions
Welcome, and thank you for choosing to travel with us.
Please take a moment to read through the following Terms & Conditions before booking your retreat or program. These outline the important details around payments, cancellations, travel insurance, and participant responsibilities.
By confirming your booking, you acknowledge that you have read and agree to these Terms & Conditions in full.

IMPORTANT: Please read carefully. By paying a deposit or balance—whether in part or in full—you agree to be bound by these Terms & Conditions.

1. Acceptance of Terms
1.1 These Terms & Conditions, along with our Refund & Cancellation Policy and any other documents provided during the booking process, form the full agreement between you (“Participant”) and [Your Retreat Name / Legal Entity] (“we”, “us”, “our”).
1.2 By booking, paying, or attending the retreat, you agree to all terms in full.
1.3 We reserve the right to update these Terms at any time. Updated versions will apply from the date of posting or written notice.
2. Payments, Deposits & Booking

A deposit is required to confirm your booking. Deposits are non-refundable.

Participants may be offered a payment plan; specific due dates and amounts will be outlined at the time of booking.

Failure to make payments on time may result in cancellation of your place, with all monies forfeited.
3. Cancellation, Transfers & Credits

No refunds are available for any payments made.

If you cannot attend, you may request:

Transfer to another person: This must be requested in writing and is only valid once confirmed by us in writing.

Credit toward another retreat or program: Credit is valid for 12 months from the date of the original retreat and can be applied to any retreat or program we run.

4. Force Majeure & Changes by Organizer
If events beyond our control (including natural disasters, pandemics, government restrictions, strikes, venue closures, or similar) prevent the retreat from running as planned:

We may reschedule the retreat to a new date/location, or
-
Offer a credit toward another retreat or program.
We reserve the right to make reasonable changes to the retreat itinerary, accommodation, or facilitators if necessary.
5. Travel Insurance

All participants must obtain comprehensive travel insurance that covers: trip cancellation, medical emergencies, evacuation, repatriation, and personal liability.

Proof of insurance may be required at least 14 days before retreat commencement.

Participants without insurance may be denied participation without refund or credit.
6. Travel Documents & Participant Responsibility

You are solely responsible for ensuring you have valid passports, visas, vaccinations, and other entry requirements.

We are not responsible for denial of entry, missed flights, or other travel-related issues.
7. Health & Medical Conditions

You must disclose any relevant health or medical conditions prior to booking.

We may request a doctor’s note confirming your ability to safely participate.

Participation is at your own risk.
8. Assumption of Risk & Waiver of Liability
By joining the retreat, you acknowledge that:

Participation may involve physical, emotional, and environmental risks (e.g., walking, hiking, yoga, swimming, or travel-related activities).

You voluntarily assume all risks and agree that we, our staff, and third-party providers are not liable for injury, illness, loss, or damage, except in cases of proven gross negligence or intentional misconduct.

You release us from any claims and agree to indemnify us for expenses arising from your actions during the retreat.
9. Participant Conduct

Respectful and safe behavior is required.

We reserve the right to remove participants who display disruptive, unsafe, or inappropriate behavior—without refund or credit.
10. Third-Party Services

Accommodation, transport, excursions, and other services may be provided by third parties.

We are not responsible for the actions, omissions, or services of third-party providers.
11. Media Release

Photos and videos may be taken during the retreat. By attending, you grant us permission to use these images for promotional and marketing purposes.

If you wish to opt out, you must notify us in writing before the retreat begins.
12. Privacy & Data
We collect and store personal information (contact details, health information, passport details) only as necessary to operate the retreat. This information will not be sold or misused and will only be shared with essential partners (e.g., accommodation providers).
13. Intellectual Property
All retreat materials, resources, and program content remain our intellectual property. You may not reproduce, share, or sell these materials without written consent.
14. Governing Law & Jurisdiction
These Terms & Conditions are governed by the laws of the jurisdiction in which the retreat is held, and any disputes shall be handled under that jurisdiction’s legal system.
15. Severability
If any provision of these Terms is held invalid or unenforceable, the remaining provisions remain in full force and effect.

WAIVER: All participants are also required to complete and sign a Retreat Waiver prior to attendance. A link to this form will be provided upon booking.
